Attendance Creation

Welcome to today’s post on Attendance Creation.

In Saral Pay Pack, we can create attendance types on various Salary Calculation, Salary calender days, Attendance types etc.

To begin with the attendance configuration for the employee in saral pay pack. We will start by configuring the basics settings in Initial Configuration under Attendance module

Let us start by enabling the user requirement  under General configuration.

Under Basic configuration:

  1. Consider excess leave taken as ’Loss of Pay’: Select this option for considering the excess leaves taken as loss of pay.
  2. If you want the above setting as a common setting for all the attendance settings, check the option ON displayed against ”Common for all attendance settings”.
  3. Consider first priority for weekly Holiday or General Holiday: Here you can set the first priority when a weekly holiday or general holiday happens to be on same day. First priority can be given to either Weekly Holiday or General Holiday.

Under Advanced Configuration:

  1. Rotating weekly Holiday: To define and set rotating weekly holiday, select this option. A new option ”Rotating” is enabled in the Weekly holiday screen where you can set separate weekly holidays for different attendance heads.
  2. Priority setting for defined leave: For setting priority of defined leaves, check this option ON. When this option is selected, an option called Priority is displayed in Leave configuration master.
  3. Leave settings for Individual attendance head: When this option is checked ON, you can define & configure separate Leave settings for each attendance head you have created.
  4.  Weekly holiday for Individual attendance head: When this option is checked ON, you can define & configure separate Weekly Holiday for each attendance head you have created.
  5. Consider CO & CW for present day’s calculation: Present day’s calculation is based on Compensatory off & Compensatory work. When there is any CO, the present days will reduce and when there is CW, the present days will increase.
  6. Automatic Leave allotment: To enable the automatic leave allotment, select this Option ON.
  7. Affect salary (Attendance Hourly): When the attendance is based on Hour basis, every hour of work is counted for calculating the salary or OT. When this option is checked, the salary calculation or OT is done based on no. of working hours. One hour more work affects the salary by increasing. One hour less work affects the salary by reducing.

Next, to create the Attendance type, navigate to Attendance Configuration under Initial Configuration.

Attendance types, can be created on following factors like : 

  1. Salary Calculation – Where the attendance is integrated with the salary for the salary calculation using Dependent (Tight Integration) or Independent (loose Integration)

In Dependent Salary calculation Method : is one of the options provided for salary calculation in the Attendance Settings, where the user can enter the leaves and that leaves are considered during salary calculation. While calculating the salary each and every time, the leave details will be considered and updated automatically. The user need not go to salary editor to change the pay days and present days in this type of integration

In Independent Salary Calculation method : any leave that was entered by the user will not get changed and adjusted automatically. The user has to go to entry part of salary editor to enter the pay days and present days manually.

  1. OT 1 & OT 2 – If there is any additional time that have to be enabled for the attendance type that is created. Enable the attendance the required OT

  1. Salary Calender Days : Select the salary calendar days to be considered for salary calculation every month, There are types of Salary Calendar Days.

  1. Actual days/month: This setting will set the salary calendar days depending on number of days present in the month.
  2. Only working days: This setting will set salary calendar days depending on working days present in the month; means excluding general and weekly holidays defined in the month.
  3. Only working days + Weekly holiday: This setting will set salary calendar days depending on working days + weekly holiday present in the month, means excluding General holidays defined for the month.
  4. Only working days + General Holiday: This setting will set salary calendar days depending on working days + General Holiday present in the month, means excluding Weekly holidays defined for the month. 
  5. Fixed 30 days/month: This option can be selected, if the calendar days are fixed as 30 per month irrespective of actual days
  6. Allow user to edit days in a month: This setting will allow user to set salary calendar days for each month 

Note : The above two setting will enable a menu in salary Transaction Attendance Setting wise -> Salary Calendar Days.

 4. Attendance Register Type : For recording the attendance of employees, you must select one from the four options provided Leave register, Daily Attendance , Hourly Attendance, Monthly Attendance.

  1. Leave Register – If you wish to enter the leave details and on duty details, select Leave Register. When you select this option, Leave register will be enabled in the Attendance menu
  2. Daily Attendance – If you are entering the day to day attendance of employees as present or absent, you can select this option. Attendance detail option will be enabled in the Attendance menu, when this option is checked.
  3. Monthly Attendance – This setting will allow you to enter the summarized attendance information on a monthly basis.
  4. Hourly Attendance – When you entering the no. of hours worked for the employees, Attendance &endash; Hourly can be opted as this will support such entries.
